Agency Operations Manager

Location: Remote (Open to Canadian Residents)
Job Type: Full-Time
Salary: $70,000-$80,000

Key Responsibilities:

  • Process Optimization: Identify operational inefficiencies and implement strategies to streamline workflows, improve team collaboration, and enhance productivity.
  • Project Management Oversight: Provide leadership and support across multiple client projects, ensuring they stay on track, on time, and within budget. You’ll oversee timelines, budgets, and deliverables, ensuring high-quality execution.
  • Budget & Financial Management: Plan, forecast, monitor, and control costs to meet financial targets. Manage invoicing and ensure project profitability.
  • Staff Management: Along with the CEO & EA, support hiring, training, and staff development efforts. Supervise and provide performance feedback, ensuring the team is empowered and equipped to succeed.
  • Quality Control & Compliance: Oversee quality assurance processes, ensuring products and services meet the highest standards. Stay up to date with industry regulations (GDPR, CASL, AODA/WCAG accessibility etc.) and ensure compliance.
  • Cross-functional Collaboration: Work with content, analytics, PR, design, dev, social and other departments to ensure alignment on goals and processes. Collaborate to improve proprietary tools and systems that enhance team efficiency.
  • Data Management & Reporting: Manage data collection for tracking operational metrics and KPIs. Analyze performance, identify areas for improvement, and report insights to leadership.
  • Contractor Oversight: Manage relationships with contractors to ensure resources are available as needed.
  • AI Utilization for Efficiency: Experience using AI tools (e.g., ChatGPT, Claude) to find efficiencies and optimizations in project management, client reporting, and workflow processes is an asset.

Qualifications:

  • Bachelor’s degree in Marketing, Business Administration, Operations Management, or a related field (equivalent experience will be considered).
  • 3+ years of experience in operations management within a marketing agency environment, preferably in B2B, digital marketing, or similar fields.
  • Proven expertise in managing project profitability, budgeting, and invoicing.
  • Strong proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and SharePoint.
  • Experienced with project management tools like Asana, or similar platforms to manage workflows effectively.
  • Demonstrated ability to lead cross-functional teams and manage multiple projects simultaneously in a fast-paced, client-driven environment.
  • Excellent written and verbal communication skills, with the ability to collaborate effectively with both internal teams and external clients.
  • Detail-oriented, with strong organizational skills and the ability to identify and address process inefficiencies.
  • Familiarity with B2B marketing tactics, technical industries, or digital advertising is a plus.
  • Proactive problem-solver with a passion for driving operational improvements.
